The arithmetic

Take weekly opening hours. Divide by the hours one manager reasonably works. Add cover for holiday, sickness and turnover.

A site open 70 hours a week with managers working 40 needs two certified people to cover the schedule and three to survive a fortnight of annual leave without a gap.

Certify across shifts, not across the office

This is where operations go wrong. Three certified managers who all work Monday to Friday leave exactly the same Sunday gap as one did.

Certify the weekend supervisor and the evening lead, not three people who share an office.

Even where one is enough

One is a single point of failure. The certificate belongs to the person, so a resignation, a long illness or an unexpected absence removes it.

A second certified person costs USD 36 to 65 plus proctoring and removes that risk entirely. As insurance goes it is unusually cheap.

Keeping track

  1. List every certified person with their expiry date.
  2. Check the rota against that list whenever the schedule changes.
  3. Set reminders three months before each expiry.
  4. Certify a replacement before someone certified gives notice, not after.
